Reservation details: name, address, email, phone number, payment-card information, dates of stay, special requests, and the names of any additional guests.
Account or loyalty information: if you create an account or join a guest program (including any program offered through our brand affiliate, where applicable).
Communications: messages you send through forms, email, phone calls, chat, or in person at the front desk.
Event & group bookings: contact and billing information for meeting, group-block, and corporate accounts.

Information collected automatically

Device & usage data: IP address, browser type, operating system, referring URL, pages viewed, links clicked, and timestamps.

On-property data: security cameras in public areas, key-card access logs, and Wi-Fi sign-in records.

Information from third parties

Online travel agencies and booking partners (e.g., Booking.com, Expedia, Vertical Booking) that pass guest details to us.
Payment processors that confirm or decline transactions.
Marketing and analytics providers (e.g., Google, Meta) when permitted by your cookie preferences.

3. How we use your information

To process reservations, payments, and check-in/out.

4. Legal bases (for visitors in regions that require them)

Where applicable, we process personal information based on (a) the contract to deliver your reservation; (b) our legitimate interests in operating the hotel and securing the Site; (c) your consent (e.g., for marketing emails or non-essential cookies); and (d) compliance with legal obligations.

We do not sell personal information for money. We share information only as needed to operate, including with:

Service providers: property-management system (PMS), payment processors, email/CRM tools, hosting and analytics providers, and reservation platforms.
Brand or franchise partners: if applicable to fulfill loyalty or brand-program functions.
Marketing partners: only when you've allowed advertising cookies in our consent banner. This may constitute "sharing" under California law and is treated as such — see your rights below.
Legal & safety: law enforcement or regulators when required by law, to protect rights, or to investigate fraud.
Business transfers: in the event of a merger, sale, or restructuring of Kevidco LLC.

6. How long we keep information

We retain reservation and transaction records for as long as needed to deliver service and to comply with tax, accounting, regulatory, and brand requirements (typically 7 years). Marketing data is kept until you unsubscribe or request deletion. Security camera footage is overwritten on a rolling schedule.

7. How we protect information

We use administrative, technical, and physical safeguards including PCI-DSS compliant payment processing, TLS encryption for the Site, restricted internal access, and staff confidentiality requirements. No system is 100% secure; please contact us immediately if you believe your information has been compromised.

8. Children

The Site is not directed to children under 13 (or under 16 in regions where that is the threshold), and we do not knowingly collect their personal information. If you believe a child has provided us information, please contact us so we can delete it.

9. Your rights

Do Not Track & Global Privacy Control (GPC)

We honor opt-out preference signals such as the Global Privacy Control (GPC). When we receive a GPC signal from your browser, we treat it as a request to opt out of "sale" and "sharing" for that browser/device.

Right to appeal

If we deny your request, residents of certain states (e.g., Virginia, Colorado, Connecticut) have the right to appeal. Reply to our denial email and we will respond within the time required by your state's law.
